Spa Reservation Management Platform

SoJo Spa Hospitality manages over 2000 monthly reservations but struggles with an outdated, non-customizable third-party system that hinders efficiency and accuracy. I lead the 0-1 design of Edge Spa, a custom enterprise tool that streamlined spa reservation management, cutting processing time, reducing errors and improved cross-functional team productivity.

SoJo needs its own enterprise tool for faster spa reservation management and safer data storage.

Sojo Spa Hospitality faces challenges with an outdated third-party reservation management platform we were using. This platform impairs efficiency and accuracy, leading to frequent errors and delays. Our staff must spend extra time troubleshooting and manually correcting issues when managing reservations, diverting their focus from delivering exceptional service.

Solution

Edge Spa, an all-in-one enterprise tool for reservation management.

In just three months, we designed all 6 main features of Edge Spa from scratch. Three of these features were developed and launched as the MVP version:


  • Spa Reservation Scheduler: Allows front desk agents to check in guests and handle in-person bookings.

  • Reservation List: Enables booking managers to modify or cancel reservations to avoid conflicts and maximize room and resource utilization.

  • Advanced Booking: Simplifies the booking process for guest relations staff handling customer calls.

Reflections

Cross-team collaboration: work with multiple stakeholders

From this project, I learned the importance of cross-team collaboration, including with non-Tech teams. Identifying dependencies and setting clear expectations help run large projects smoothly. Designing a product used by staff from over 5+ different departments taught me to balance their needs and make concise design decisions for overall efficiency.

Scalability is the key.

When working on a 0-1 product, it's easy to become overly focused on achieving "the final design" all at once. However, designers need to prioritize scalability from the outset. This means considering not only the immediate needs of the project but also anticipating future demands. I learned a lot about how to consider future increases in user growth, traffic volume, data size, response times, availability, reliability, and security at the early stage of the design process.
